Withdrawing from UW-Madion?

Are you thinking about dropping all of your courses for the semester? Every year students consider withdrawing from colleges and universities. Though the reasons for withdrawing may vary, some common themes are:

Academic Difficulty Financial Problems
Illness/Pregnancy Loss of interest in college
Loneliness/homesickness Personal Problems

Whatever your reasons for withdrawing, this there are a number of issues for you to consider and questions to answer as part of your decision-making process. Please meet with your academic advisor before making any final decisions. There may be options or consequences that you aren't thinking of.

How do I withdraw?
  • Many students simply stop attending class and mistakenly believe this is enough to withdraw them from the University. This is not the case! If you do not complete a withdrawal form, you are still officially registered in all of your classes and could end up with grades of F on your transcript.
  • Complete an official withdrawal form, available in Student Academic Affairs, Room 70 Bascom Hall or on the Registrar's Office website. If you complete the form on the web, you must then submit it in Room 70 Bascom for processing.
  • If you are not on-campus and do not have access to the world-wide web, you may withdraw by letter. Your letter must be dated, signed, include your full name and student i.d. number and specifically request that you be withdrawn from the University. A Dean will then complete the withdrawal form on your behalf.
  • Remember if you want to drop one or more classes (but not all of your classes) - you do so through MY UW and the "drop course" screen (before the 9th week of classes). You only withdraw from school if you want to drop all of your classes.

What is the deadline for withdrawing from the semester?
  • To avoid having your classes or notice of withdrawal appear on your transcripts, you must withdraw no later than the seventh day of classes. Thereafter, your courses will appear on your transcript and a notation of "W" will be entered into the grade column for each course.
  • The final deadline for withdrawing is the Friday of the 12th week of class each semester.
  • The deadline dates for this semester are available on the Registrar's website.
How does withdrawing affect tuition, use of camuse services, etc?

Refunds/Fees

Tuition refunds are determined by the effective date on your withdrawal form, according to the schedule listed in the Timetable. If you are eligible for a refund, it will be mailed to you after your withdrawal has been processed.

We encourage you to find out before you leave campus if you have any outstanding fees. To do so, contact the Bursar's Office.

University Services & Facilities

Withdrawing from the University will limit or eliminate your access to most campus services and facilities, including: housing, libraries, SERF & Natatorium, University Health Services, email and computer services, etc.

Students Receiving Financial Aid

Repaying Award Money

If you withdraw from the University you may be required to repay any cash funds (loans, grants, or scholarships) you have received for the semester. If you withdraw during the tuition refund period, as listed in the Timetable, the refund will not be given to you. Instead it will be used by the Office of Student Financial Services (OSFS) to credit the financial aid funds you received. You will be notified by OSFS if any additional payment is necessary due to your withdrawal.

If you withdraw during Semester I, the Semester II portion of your award WILL BE CANCELLED unless you notify the OSFS in writing that you intend to return in Semester II.

Student Loans

Borrowers should investigate their loan repayment obligations and how these are affected by withdrawal.

You are responsible for notifying your lender(s) when you leave school or are no longer enrolled at least halftime. Repayment will begin about six months after you withdraw.

Rules to keep in mind

Undergraduates may receive a maximum of 10 semesters of financial aid, with summer sessions as one-half semester. The semester in which a student receives aid and reduces his/her load or withdraws is counted toward the 10 semester rule.

Each year undergraduates are expected to complete 2/3 of all credits for which they have registered with a minimum grade point average (GPA) of 2.0. A student's degree credits earned during the summer, fall and spring semester will be evaluated at the end of the spring semester to determine eligibility for financial aid in the upcoming term/year. If you are considering withdrawing, and will earn less than the minimum number of credits, your eligibility for future aid may be affected.

Where do you live?

University Housing

  • Your decision to withdraw from all of your classes will affect your housing accommodations. You may not continue to reside in University Housing if you are not enrolled.
  • If you live in one of the campus residence halls, you must notify the Assignment Office in Slichter Hall , of your intention to withdraw.
  • You will need to complete a Contract Release Form or written statement, indicating your withdrawal from the University and submit a copy of your completed Withdrawal form. If the Assignment Office releases you from your housing contract, you will receive a set of checkout instructions.
  • Your checkout will not be complete until after you have received approval for a contract release and have turned in your keys and linens at the Residence Hall Desk.
  • Warning: Do not simply move out or leave without going through the procedure outlined above. You may incur additional costs if you fail to follow the necessary checkout procedures.

Private Residence Hall or Apartment

  • Your decision to withdraw from the University will not affect your ability to remain in a private residence hall or apartment. Neither facility is tied to your enrollment at UW-Madison.
  • If you would like to move out of your current residence:
    • Contact your general manager or landlord about your intentions to leave and the necessary checkout procedures. Keep in mind that it is not always possible to break a lease or contract.
    • It is sometimes possible to sub-lease your room or apartment. To do so, begin by reviewing the rules and policies governing such arrangements in your contract/lease. For additional information, contact the general manager/landlord or the Tenant Resource Center, 122 State Street, Suite 310, 257-0006.
    • Warning: Do not simply leave without notifying the general manager or landlord. You will still be financially liable for the balance of your contract/lease.
International Students with F-1/J-1 Visas

Withdrawing from school will place you "out of status" immediately (see below). The Immigration and Naturalization Service (INS) expects you to leave the U.S. on the date of your withdrawal from school. Therefore, we urge you to make all arrangements for your departure from the U.S. before you complete the withdrawal process. Consult your academic adviser about all the steps needed to effect your withdrawal, and an international adviser to discuss your visa options.

You must meet all of the conditions listed below to be considered in valid visa status by the INS:

  • Attend the school whose I-20 you used to enter the U.S.
  • Enroll full-time each semester (12 credits for undergraduate and 8 credits for graduate)
  • INS allows F-1 students to be less than full-time under certain conditions; but please consult with an International Student Services (ISS) adviser before making any change that would reduce your course load below these limits.
  • Maintain good academic standing.
  • Maintain sufficient financial resources to avoid becoming a "public charge".
  • Work no more than 20 hours per week on campus while classes are in session.
  • Work off campus only with specific written authorization from ISS or INS.
  • Complete the F-1 transfer procedure to change schools within the U.S.
  • Complete the change-of-level procedure when changing from one educational level to another.

When you do not fulfill any of the conditions stated above, INS will consider you to be "out- of -status." If you are "out-of-status," you will lose the following privileges and benefits:

  • Eligibility for employment, on and off campus.
  • Automatic visa revalidation for trips to Canada, Mexico and the Caribbean islands except Cuba (unless you are a citizen of one of those countries).
  • Extension of program through notification procedure.
  • Transfer to or from another university in the U.S. through the notification procedure.
  • Change from one educational level to another through the notification procedure.
  • Practical training.

How can I register again after withdrawing?

If you are considering withdrawing from UW-Madison, keep in mind that if you are absent for a semester or more, you must complete a re-entry application before you can resume classes.

If you withdraw on or after the first day of the current semester, you will be considered a continuing student for the next semester. Your registration time and related information will be sent to you either by e-mail or to your mailing address (make sure you have current contact information on MyUW). You may then register without completing a re-entry application.

If you drop all of your classes before the first day of class in the current semester, you then must submit a re-entry application before you can register again at UW-Madison.
